Why are we upgrading?
There are several reasons that we are upgrading the Exchange email system for
faculty and staff. The
existing system, running on exchange 2003, is now two versions old and Microsoft
is ending support for it. The
hardware needs to be replaced as well as it is at the end of its usable life.
Will there be any visible changes?
Yes, there are several. First, we redesigned the splash page so that it is more concise and standardized it on the UT template. This splash page will be used for notifications about outages and other pertinent information related to email. Second, the OWA (outlook web access) page has a new look as well. You will only see this new look once your mailbox has been migrated.
The OWA login screen looks different, what are these new options?
The login screen has changed and there are some new options available. These options include, Public or private computer and using the light version. The definitions are below.
After logging in to OWA, my URL changed to emailsso.utoledo.edu, why?
The OWA (outlook web application) detects which version of exchange your mailbox is on and redirects your browser if necessary. You see emailsso.utoledo.edu because your mailbox has not been migrated to exchange 2010 yet. Once you have been migrated, you will no longer be redirected.
What mobile devices are supported for email synchronization?
Devices running windows mobile 6.1 and higher, blackberries on the BES (blackberry enterprise
server), Apple iPhone, and Android based devices running the Touchdown application for email
synchronization. While there are other devices that may work,
information technology has verified that the devices listed above do work

Will my Blackberry continue to work?
Can I continue to pull my UT email into my Gmail or other account using pop3?
Will Pop3 and IMap4 clients continue to work?
Do I need to change any settings for Pop3 or Imap4?
Yes – SSL or TLS is now required for both.
What are the settings for Pop3 / Imap4 clients?
|UserID / password:||your UTAD user ID and password|
|Incoming & outgoing server:||email.utoledo.edu *Your ISP may provide an outgoing SMTP server to use|
|SMTP SSL/TLS port:||25 (if using UT's SMTP)|
|Authentication:||Outgoing server REQUIRES authentication if you're using UT’s|
|SSL / TLS:||required|
|IMap4 SSL port:||993|
|Pop3 SSL port:||995|
Will there be an outage to implement the upgrade?
The only outage you should see is about 30min at most while your mailbox is migrated. The migrations are likely to happen during the day so IT can provide better support during the migration. If you have outlook open when your mailbox is migrated, you should get a message similar to “Your administrator has made that change that requires you to restart outlook.” At that point it may be best to restart your computer. This will ensure that any applications that use outlook or exchange will be closed and your mailbox migration can complete successfully.
What will the new mailbox quota be?
The default quota will be 500meg.
Why can’t we have the same quota as the students?
The students were moved to Live@Edu for several reasons. Among those were cost savings, and a feature set that better suits the needs of the students. The feature set offered by outlook.com does not meet the needs of the faculty and staff.
Will my email address change?
No, your email address will not change
Will my User ID change?
Will my alias change?
Will my password change?
What web browsers are supported to access the new system?
Internet Explorer, Safari and Firefox are all supported.
What clients are supported to access my email?
For the PC, Outlook 2003 (not preferred), 2007, 2010 and OWA (outlook web access) are currently supported. For apple Macintosh users, entourage WSE (web services edition) and Outlook 2011 are supported. Most other IMap4 or pop3 clients should work as well. See “What are the settings for Pop3 / Imap4 clients” for specific settings.
Can I access my email from home using outlook?
after your mailbox has been migrated and you will no longer need a VPN client to use it. Outlook has a feature called outlook
anywhere, which allows access to your email account over HTTPS and we have
implemented this feature with the upgrade to exchange 2010. (Setup
instructions will be added soon)

When accessing my email
via OWA (web), my inbox is grouping my messages together, what is this and how
do I turn it off?
This is called conversation view and it groups all messages related to each
other together. If you delete part of the conversation, all of the
messages are deleted as well. This is enabled by default but can be turned
off. Under the OWA "view" menu, click "Use Conversations" to either
enable or disable it.
