Accessing email from the Internet

 

 

The OWA login screen looks different, what are these new options?

The login screen has changed and there are some new options available.  These options include, Public or private computer and using the light version.  The definitions are below.

  • Public computer: Select this option if you use Outlook Web App on a public computer. Be sure to sign out when you've finished and close all windows to end your session.


  • Private computer: Select this option if you're the only person who uses this computer. Your server will allow a longer period of inactivity before signing you out.
  •   
  • Light version: The light version of Outlook Web App includes fewer features. Use it if you're on a slow connection or using a computer with unusually strict browser security settings. We also support the full Outlook Web App experience on some browsers on Windows, Mac, and Linux computers.

What mobile devices are supported for email synchronization?

Devices running Windows Mobile, Apple iPhone, Blackberry and Android that have ActiveSync mail applications are supported for email synchronization.  While there are other devices that may work, information technology has verified that the devices listed above do work correctly.

 

Can I  pull my UT email into my Gmail, Yahoo, Hotmail or other account using POP3/IMAP?

No.  Importing email into an outside 3rd party email system is strictly prohibited by The University of Toledo Electronic Mail Services Policy (Policy 3364-65-01). For more details please visit: http://www.utoledo.edu/policies/administration/info_tech/pdfs/3364_65_01.pdf

 

Can I forward or redirect my UT email to my Gmail, Yahoo, Hotmail or any other account?

No.  Forwarding or redirecting email to an outside 3rd party email system is strictly prohibited by The University of Toledo Electronic Mail Services Policy (Policy 3364-65-01). For more details please visit: http://www.utoledo.edu/policies/administration/info_tech/pdfs/3364_65_01.pdf

 

Will Pop3 and IMap4 clients continue to work?

Yes - Note: POP3/IMAP access is targeted to be shut down the week of Nov 30th

 

Do I need to change any settings for Pop3 or Imap4?

Yes – SSL or TLS is now required for both.

 

What are the settings for Pop3 / Imap4 clients? Note: Pop3/IMAP will no longer be available after November 30th. 

Domain: UTAD
UserID / password: your UTAD user ID and password
Incoming & outgoing server: email.utoledo.edu     *Your ISP may provide an outgoing SMTP server to use
SMTP SSL/TLS port: 25 (if using UT's SMTP)
Authentication: Outgoing server REQUIRES authentication if you're using UT’s
SSL / TLS: required
IMap4 SSL port: 993
Pop3 SSL port: 995

Mailbox Information

 

 

What is my mailbox quota?

The default quota for UT Faculty/Staff mailboxes is 750MB.

 

Why can’t we have the same quota as the students?

The students were moved to Office 365 for several reasons.  Among those were cost savings, and a feature set that better suits the needs of the students.  The feature set offered by Office 365 does not meet the needs of the faculty and staff. We are currently working on a project plan to migrate Faculty and Staff to Office 365 after the first of the year.

 

What is my email address?

Your default email address is your  firstname.lastname@utoledo.edu. Depending on your name you may have a number after your last name in your email address. Please visit: http://myutaccount.utoledo.edu to verify your email address.

 

What web browsers are supported to access the my email?

Internet Explorer, Safari, Chrome and Firefox are all supported.

 

What clients are supported to access my email?

For the PC, Outlook 2007, 2010, 2013 and OWA (outlook web access) are currently supported.  For Apple Macintosh users, Outlook 2011 and Outlook 2016 are supported. 

 

When accessing my email via OWA (web), my inbox is grouping my messages together, what is this and how do I turn it off? 

This is called conversation view and it groups all messages related to each other together.  If you delete part of the conversation, all of the messages are deleted as well.  This is enabled by default but can be turned off.   Under the OWA "view" menu, click "Use Conversations" to either enable or disable it.

Voicemail Information

 

How do I setup my new voice mail?

You should have received an email from Microsoft Outlook – Welcome to Exchange Unified Messaging when Telecommunications enabled you for voicemail. This email contains your PIN number to access the system. To complete the transition to the new voice mail follow the steps depending on your campus - Main Campus Voice Mail   Health Science Campus Voice Mail.
